Real Estate Automation for Agents & Teams

Keep buyer inquiries, seller conversations and past-client relationships moving. We connect your CRM, appointments and follow-up so agents can spend more time with clients.

The operational problem

Where the current process breaks down.

A portal lead arrives during a showing. An open-house contact stays in a spreadsheet. A seller asks for an update, but the latest task is in another inbox. When every relationship depends on a separate reminder, promising conversations lose momentum and past clients hear from you only when someone remembers.

The system we build

Connect the work, not just the tools.

We map separate buyer and seller journeys, route new inquiries to the right agent, and connect appointment activity with CRM stages and follow-up tasks. Transaction handoffs have a named owner, while past-client check-ins stay organized around the relationship. Your team controls client advice, negotiation and messages that need a personal review.

Example workflow
  1. 01Buyer or seller inquiry
  2. 02Source captured and duplicate checked
  3. 03Assigned agent notified
  4. 04Consultation or showing scheduled
  5. 05Stage-based follow-up
  6. 06Transaction handoff
  7. 07Past-client check-in

Illustrative architecture. Final steps depend on your systems, access and approved scope.

Implementation

How this takes shape in your business.

  1. Map lead sources, agent territories, assignment rules and buyer/seller stages.
  2. Connect approved forms and lead sources to the CRM, with duplicate checks and source tracking.
  3. Build appointment follow-up, showing reminders and transaction handoff tasks around your team’s process.
  4. Add past-client check-ins and a team view of unassigned inquiries, overdue tasks and stalled conversations.

Business outcomes we design for

  • A visible owner and next action for new buyer and seller inquiries.
  • Fewer open-house contacts left outside the CRM.
  • Clearer handoffs between agents and transaction coordinators.
  • Consistent past-client contact without sending everyone the same campaign.

These are design objectives, not guaranteed results. We agree on measures and track actual outcomes.

Your existing stack

Integrations with a clear purpose.

  • Existing real estate CRM
  • Website and open-house forms
  • Calendar and showing tools
  • Email and calling systems
  • Transaction management tools

We verify vendor capabilities, account permissions and supported interfaces before committing to an integration. Vendor names describe technology experience and possible scope, not formal partnerships.

Client experience

A direct working relationship, from scope to handoff.

Our published client feedback describes real service and website engagements. It is not evidence of a measured result for this specific automation.

Good questions

Before we build.

Can buyer and seller leads follow different workflows?

Yes. We can separate intake questions, CRM stages, task assignments and follow-up based on the type of inquiry. Agent availability and your team’s routing rules guide the handoff.

Can you connect open-house and website leads to our CRM?

We review how each source makes its data available and the permissions in your accounts. Supported form connections can capture source details, check for duplicates and notify the assigned agent.

Will automation send listing recommendations or negotiate for us?

Your agents remain responsible for property advice, negotiations and client decisions. We focus on intake, reminders, CRM updates and approved follow-up, with human review where your process requires it.

Can you help us stay in touch with past clients?

Yes. We can organize client milestones, check-in tasks and approved outreach around your existing relationships, contact preferences and CRM history.

What does an automation project cost?

Most custom automation projects are $2,500–$6,000. Ongoing management and optimization ranges from $500 to $5,000 per month, based on system complexity, management responsibilities and support needs. Complex integrations and AI systems are scoped individually. The discovery call helps determine the appropriate engagement.

How do you handle compliance-sensitive workflows?

Human approval, access controls, suppression rules and audit trails can be incorporated into the design. Your team is responsible for reviewing business and regulatory requirements. HTS provides technology implementation, not legal advice.
