AI Lead Follow-Up for Mortgage & Service Teams

Keep new inquiries from becoming forgotten records. Connect lead capture, relevant responses, team handoffs and appointment tracking in one workflow.

The operational problem

Where the current process breaks down.

Speed helps only when a response is useful and someone owns the conversation. A disconnected autoresponder can send messages after a prospect has replied, miss an appointment or continue contacting a person who opted out.

The system we build

Connect the work, not just the tools.

We connect intake to your CRM, apply routing and channel rules, and build follow-up that responds to meaningful events. AI can help classify a message or draft a response; scheduling, suppression, escalation and stop conditions remain explicit parts of the workflow.

Example workflow
  1. 01New inquiry
  2. 02Permission and routing checks
  3. 03Relevant response
  4. 04Reply or booking
  5. 05Human handoff
  6. 06Sequence stopped

Illustrative architecture. Final steps depend on your systems, access and approved scope.

Implementation

How this takes shape in your business.

  1. Inventory lead sources and determine who owns each inquiry.
  2. Define approved channels, response content and human escalation.
  3. Connect responses, appointments and stop conditions to CRM status.
  4. Test duplicate leads, replies, opt-outs and failed deliveries before launch.

Business outcomes we design for

  • Fewer inquiries waiting without an owner.
  • Follow-up that stops when the situation changes.
  • Conversation context carried into the handoff.
  • Visibility into contact, appointment and next-step status.

These are design objectives, not guaranteed results. We agree on measures and track actual outcomes.

Your existing stack

Integrations with a clear purpose.

  • Website forms
  • Jungo / Salesforce
  • Email / approved messaging
  • Calendly
  • RingCentral

We verify vendor capabilities, account permissions and supported interfaces before committing to an integration. Vendor names describe technology experience and possible scope, not formal partnerships.

Client experience

A direct working relationship, from scope to handoff.

Our published client feedback describes real service and website engagements. It is not evidence of a measured result for this specific automation.

Good questions

Before we build.

Does every message have to be written by AI?

No. Approved templates and deterministic rules may be the best choice for many steps. We use AI only where interpretation or drafting adds value and can be reviewed appropriately.

What happens when a prospect replies?

The workflow can pause nurture, log the response, create a task and alert the owner. The exact handoff and response expectations are agreed during design.

What does an automation project cost?

Most custom automation projects are $2,500–$6,000. Ongoing management and optimization ranges from $500 to $5,000 per month, based on system complexity, management responsibilities and support needs. Complex integrations and AI systems are scoped individually. The discovery call helps determine the appropriate engagement.

How do you handle compliance-sensitive workflows?

Human approval, access controls, suppression rules and audit trails can be incorporated into the design. Your team is responsible for reviewing business and regulatory requirements. HTS provides technology implementation, not legal advice.
