Database Reactivation for Mortgage & Service Businesses

Reconnect with the people already in your CRM. Build a repeatable path from old records to relevant conversations, appointments and referral opportunities.

The operational problem

Where the current process breaks down.

A large database is not automatically a useful audience. Records age, contact details change, and old lead sources may not support the outreach you want to send. A blanket campaign can create noise without giving your team a workable follow-up process.

The system we build

Connect the work, not just the tools.

HTS prepares the data, segments contacts by relationship and need, and builds an outreach workflow around approved audiences. Replies, calls and appointments return to the CRM. Your team gets an actionable queue, while suppression and review rules keep unsuitable records out of the sequence.

Example workflow
  1. 01Data review
  2. 02Enrichment
  3. 03Segmentation
  4. 04Approved nurture
  5. 05Dialing queue
  6. 06Appointment
  7. 07CRM tracking

Illustrative architecture. Final steps depend on your systems, access and approved scope.

Implementation

How this takes shape in your business.

  1. Assess data quality, source history and permitted communication channels.
  2. Clean and enrich approved records, then segment the audience.
  3. Build relevant nurture, annual review or past-client campaigns with stop rules.
  4. Route engagement to the team and track appointments and opportunities.

Business outcomes we design for

  • An organized audience with known exclusions.
  • Relevant follow-up for past clients and older leads.
  • Conversations routed to the right team member.
  • Measurement from contact activity through opportunity creation.

These are design objectives, not guaranteed results. We agree on measures and track actual outcomes.

Your existing stack

Integrations with a clear purpose.

  • Jungo / Salesforce
  • Approved enrichment tools
  • Email workflows
  • Calling queues
  • Calendly

We verify vendor capabilities, account permissions and supported interfaces before committing to an integration. Vendor names describe technology experience and possible scope, not formal partnerships.

Client experience

Good questions

Before we build.

Can you use any old list?

No. We first assess where records came from, suppression status, channel permissions and the suitability of the intended outreach. Your team approves the audience and messaging before launch.

Can you guarantee appointments or pipeline?

No. Outcomes depend on data quality, audience fit, messaging and follow-through. We define the measurement plan and report actual activity and outcomes rather than promising a fixed return.

What does an automation project cost?

Most custom automation projects are $2,500–$6,000. Ongoing management and optimization ranges from $500 to $5,000 per month, based on system complexity, management responsibilities and support needs. Complex integrations and AI systems are scoped individually. The discovery call helps determine the appropriate engagement.

How do you handle compliance-sensitive workflows?

Human approval, access controls, suppression rules and audit trails can be incorporated into the design. Your team is responsible for reviewing business and regulatory requirements. HTS provides technology implementation, not legal advice.
