Mortgage CRM Automation That Keeps Work Moving

Turn your CRM into the place where leads, owners and next actions stay connected, from first contact through post-close follow-up.

The operational problem

Where the current process breaks down.

A task that fires at the wrong time is just another notification. When CRM rules are disconnected from loan stages and team responsibilities, people duplicate work, ignore alerts or create their own parallel tracking system.

The system we build

Connect the work, not just the tools.

We build automation around the events that matter: new inquiries, changes in stage, missing activity, completed milestones and review dates. Every rule has an owner, a clear trigger and a way to handle incomplete data. Managers can see exceptions instead of guessing whether work happened.

Example workflow
  1. 01Milestone changes
  2. 02Rules evaluated
  3. 03Owner notified
  4. 04Task completed
  5. 05Activity recorded

Illustrative architecture. Final steps depend on your systems, access and approved scope.

Implementation

How this takes shape in your business.

  1. Document lifecycle stages and the next action at each stage.
  2. Define assignment, response windows, exceptions and escalation ownership.
  3. Connect milestone events to CRM tasks and approved communications.
  4. Validate reporting and train your team on the exception queue.

Business outcomes we design for

  • More consistent lead and borrower handoffs.
  • Less manual task creation and status chasing.
  • Past-client contact based on meaningful dates.
  • Clear visibility into overdue work.

These are design objectives, not guaranteed results. We agree on measures and track actual outcomes.

Your existing stack

Integrations with a clear purpose.

  • Jungo / Salesforce
  • ARIVE / LOS
  • Email and calendar
  • Reporting dashboards

We verify vendor capabilities, account permissions and supported interfaces before committing to an integration. Vendor names describe technology experience and possible scope, not formal partnerships.

Client experience

A direct working relationship, from scope to handoff.

Our published client feedback describes real service and website engagements. It is not evidence of a measured result for this specific automation.

Good questions

Before we build.

What is the difference between CRM setup and automation?

Setup establishes the records, fields and stages. Automation uses defined events to move tasks, data and communications through that structure. Reliable automation usually needs a sound data model first.

Do we need a new CRM?

Usually the starting point is improving the system you already own. If a limitation affects your goal, we explain it and compare options before proposing a replacement.

What does an automation project cost?

Most custom automation projects are $2,500–$6,000. Ongoing management and optimization ranges from $500 to $5,000 per month, based on system complexity, management responsibilities and support needs. Complex integrations and AI systems are scoped individually. The discovery call helps determine the appropriate engagement.

How do you handle compliance-sensitive workflows?

Human approval, access controls, suppression rules and audit trails can be incorporated into the design. Your team is responsible for reviewing business and regulatory requirements. HTS provides technology implementation, not legal advice.
